Realtor Time Management – Use these daily and weekly sample schedules for real estate agents looking to improve their time management and efficiency like top producing agents.
Time management for Realtors is no easy task. This is something we are constantly coaching our clients on here at ICC. To be successful, you must learn to respect the times you have blocked off for certain activities. You must keep a calendar! Of course, it’s easier said than done. So in today’s mastermind, we are going to talk about how to create a daily and weekly schedule and stick to it.

Your calendar dictates what you will get done
I am here to tell you a hard truth. If you are not the “type” of person who lives by their calendar, you may need to do some adjusting. Successful agents will adopt this mindset, so you need to get on board. You need to make a behavior change on this! There is a right way and a wrong way when it comes to business. The right way is to time block. This is Realtor time management 101. You must live a structured business life. And to do so, you need routine, structure, and discipline!
No one is watching you. No one is forcing you to do this. You are a real estate agent — you run your own business! As a result, you must hold yourself accountable. Writing down your to-dos in the form of time-blocked tasks is a layer of accountability.
I have never seen a successful real estate agent NOT live by their time-blocked calendar. If you want to achieve success in your career, follow what the successful agents are doing. Realtor time management isn’t complicated. But if you aren’t accustomed to living by a calendar, it will take adjustment.
Realtor time management: Here’s what your week should look like
Check out the video within this blog for a thorough discussion about which activities to time block. Here is a quick, general list:
Marketing / Business Generation: 2-3 hours a day, preferably in morning
Business Servicing: an hour in the morning, an hour in the afternoon
Lead Conversion and Follow-Up: an hour or more in the afternoon
Notice, I also time block before I start my Marketing / Business Generation each morning to “Prepare for Business.” I even time block this time when I turn on my computer, grab my coffee, use the restroom, check a few emails. These menial activities are important to time block for, too! It puts a limit on this time so you don’t get distracted or carried away.
Realtor time management: Here’s what your day should look like
Below you will see our ICC Daily Schedule for Realtors. It details the most important tasks to time-block throughout your day. It shows some variety from the previous calendar. It’s up to you how long you time block for certain activities. The point is — you must stick by it.
How does time blocking help?
Throughout the day, you are bombarded with calls. Time blocking helps because if you are in the middle of one of our important activities that we have blocked out, don’t pick up. Instead, send a quick text saying, “Hey I’m in an appointment right now, may I call you back at 11am?” This reminds the person trying to reach you that you are a busy and successful Realtor and you respect your own time! You are generating business, for example, which is an essential part of your job. No one will mind getting a call back in a few hours. In fact, they may respect you more for it. Realtors can use this time management technique and save themselves a lot of stress and frustration.
